Privacy Policy
[Controllers] We, that is entities belonging to the Ground Frost Group, i.e. Ground Frost Sp. z o.o. and Ground Frost Outsourcing Sp. z o.o. hereinafter referred to as: „ Ground Frost Group” or „Co-controllers”, are the controllers of your personal data that has been provided to us directly by you or your employees, co-workers, contractors in connection with our business activity (hereinafter as: „Our Activity”), including through the website available under the domains www.groundfrost.pl and www.groundfrost.eu (hereinafter as: „Service”).
[Joint arrangements between the Controllers] As part of the co-controlling agreement, entities within the Ground Frost jointly agreed on the scope of their responsibilities for the fulfilment of their obligations arising from the GDPR; in particular, we have agreed that we are jointly responsible for fulfilling the information obligation towards you and for enabling you to exercise your rights. You can ask any entity within the Ground Frost Group for the exercise of your rights and the request will be processed by the entity which you have addressed or the entity to which your request will be delegated by us.

[Personal data processing] We process your personal data obtained via the Service contact form and in the course of conducting electronic correspondence in connection with our Activity for the purpose of:
- conducting traditional communication with you or via e-mail or other messaging services in connection with the performance of the contract or the pursuit of its conclusion, or the purposes of the legitimate interests of ensuring continuity of running current business (Article 6, paragraph 1, letter b or letter f, GDPR),
- entering into or performing a contract that we wish to enter into or have entered into with you in connection with our Activity (Article 6, paragraph 1, letter b, GDPR)
- sending you marketing commercial information or partners participating in the provision of services related to our Activity based on our legitimate interest. We apply a sustainable marketing policy based on a legitimate interest analysis (Article 6, paragraph 1, letter f, GDPR)
- archiving (evidence-related) purposes that are the implementation of our legitimate interest to secure information in cases where legal need arises to prove facts (Article 6, paragraph 1, letter f, GDPR)
- possible determination, investigation or defence against claims, which is the implementation of our legitimate interest (Article 6, paragraph 1, letter f, GDPR)
- analytics (better selection of services to cater the needs of our clients, overall optimization of our products, optimization of service processes, building knowledge about our clients, financial analysis of our company, etc.), which is the implementation of our legitimate interest (Article 6, paragraph 1, letter f, GDPR).
[How long we plan to store your data] Providing data is voluntary, but without them we can not provide you with services or to answer the questions asked. We plan to store your personal data processed in a calendar year for the purpose of providing our services for no more than 6 years from the end of such a calendar year(5 years for limitation plus 1 year for stock just for good measure, in cases such as undelivered mail). We will store your data processed in order to send you marketing commercial information until your consent is withdrawn.
[Your rights] You have the following rights: accessing your data and receiving a copy of it, rectification of your data, requesting to delete data, requesting to limit data processing, objection to data processing, data transfer. [Recipients of data] Your personal data may be transferred between entities within the Ground Frost Group for internal administrative purposes of a group of undertakings, bodies operating under the law, our subcontractors (eg IT company, accountants, marketing agency), and our partners, that is, companies with whom we cooperate in connection with the conduct of our Activity.
[Security] In our Service we have implemented solutions that ensure high level of protection of your data, including the Service IT system meeting high standards of personal data protection.
[Cookie files] When browsing the Service, in accordance with the consent granted and the configuration of the browser, one or more cookie files (cookies) may be saved to your device (end device) by us or by our associate (subcontractor).
